Using AI to support work while maintaining verification, proportionality, and human responsibility.

Principles for professional activity
The use of AI in administrative, communication and management tasks must respect institutional principles and preserve effective human judgment.
Human mediation
No decision, administrative or otherwise, can be made by an AI system without effective and documented human assessment. In particular, human intervention cannot be merely formal.
Verification
All content produced or suggested by AI and used in the context of communication or dissemination must be verified for factual accuracy by the person using it.
Data generation
The generation of synthetic data, image, text, video, for communication purposes must in particular verify its compliance with the actual data, avoiding introducing biases and limitations in the studies that will use them.
Transparency
The use of AI must be declared when relevant or required, as in the case of the provision of AI conversational assistants on the UFP portal.
Literacy
The UFP ensures, in accordance with Article 4 of Regulation (EU) 2024/1689, the training conditions that make responsible use mandatory.
Risk assessment
The use of AI should be evaluated based on its level of risk, in accordance with Regulation (EU) 2024/1689. Research on AI systems is excluded in certain circumstances, always respecting applicable legislation.
Decision based on evidence
Institutional decisions regarding AI are based on data collected and evaluated, and not on assumptions or trends.
Proportionality
The use of AI should not exceed what is necessary to achieve its legitimate objectives, avoiding the disproportionate or out-of-context use of AI systems, particularly when it prevents or limits the acquisition of skills and know-how in training environments, or when it reduces human mediation with negative effects.
Where AI can support
Generative AI can support professional tasks, with verification of results and respect for applicable usage conditions.
Support in creating ideas
An AI system can generate ideas that can be used later, after their validity and originality have been verified, preventing plagiarism.
Support in the revision of texts
There are several AI systems that specialize in reviewing texts; the results should all be confirmed regarding their validity and suitability to the text’s topic.
Support in data analysis
Data analysis by AI systems is becoming increasingly common and allows for considerable time savings, including in its preparation, cleaning, and discovery of features.
Support in data visualization and infographics generation
It improves the graphical quality of the data visualization; inaccuracies, incorrect scales, or other errors should be checked.
Support in the generation of images and videos
In particular, the generation and manipulation of images and videos by AI must be carefully controlled, even with the aim of improving their quality, ensuring that the results are realistic, contextually relevant, and comply with the UFP communication rules.

Support in writing
In particular, in a non-native language, improving the understanding of the text and eliminating errors.
Support in the research and consultation of normative and regulatory texts
Research on standards, regulations, and other official documents can be greatly facilitated by AI, which can produce summaries and find the documents relevant to a given question.
Customization of communications
Automated segmentation and personalization of messages for different audiences.
Review, contextualize and confirm
Human mediation must be effective.
No decision, administrative or otherwise, can be made by an AI system without effective and documented human evaluation. Human intervention cannot be merely formal.
Check the factual accuracy of the content, the suitability of images and videos, and compliance with the UFP communication rules. Confirm the conditions for the use of personal data or information subject to confidentiality.
Declaring the use
In all these situations, the use of AI must be declared, specifying which tasks, which AI systems are used, what the original results are and what modifications are made. The use of AI when it is not authorized, or its failure to be declared even when it is authorized, constitutes a breach of integrity.
